The end of the school year

How to archive one class or every class, what happens to students and their books, and how to get ready for next year.

At the end of the year you archive your classes. Archiving keeps each class, its students, its books and their answers, and it stops anybody signing in to the class or anything new being set in it. Nothing is deleted. A lead teacher can archive one class, and a school admin can archive every class at once.

Classes are opening soon, so there are no classes to archive yet. This article describes the end of the year once the school agreement is in force.

Before you archive

Once a class is archived, its roster cannot be changed, so do these first.

  1. Download what the school needs. A school admin can use "Download the spreadsheet" on Data and privacy. It only covers current classes, so download it before archiving. On the Classroom and School plans, each class's Progress tab has a spreadsheet as well.
  2. Remove students whose information should be deleted. On the class's Roster, choose "Remove" beside each one, then "Remove" again to confirm. A student who is in no other class, archived classes included, is deleted once 60 days have passed since they were removed. Archiving on its own deletes nobody.
  3. Finish open assignments if you want to. Students stop seeing them once the class is archived, and every answer stays for you to read.

Archive one class

The class's lead teacher or a school admin can do this.

  1. Open the class, then its Settings tab, and find "End of the year".
  2. Choose "Archive this class".
  3. Choose "Archive it" to confirm.

Only archive a class you have finished with. The Settings tab does not offer a way to open an archived class again, so if you archive one by mistake, write to us.

Archive every class at once

A school admin can do this from Data and privacy.

  1. Under "End of the school year", choose "Archive every class".
  2. Tick "I understand every class will be archived".
  3. Choose "Archive every class" to confirm.

Every current class in the school is archived straight away.

What happens to students and their books

  • Nothing is deleted. The students keep everything they read, and their books and answers stay with the class.
  • Students can no longer sign in to an archived class. A student who is in no current class cannot sign in at all.
  • The class code stops working, and teachers cannot set anything new in the class.
  • A parent who linked their account no longer sees the class listed, and reading at home stops. Their child's card and school reading page stay.
  • You can still open an archived class to look at it. On Your classes, choose "Show archived".
  • Archived classes do not count toward the number of classes your plan allows.
  • A student in an archived class is kept until they are removed or the school closes, not for 60 days. To delete a student after their class is archived, write to us.

Getting ready for next year

  1. Start next year's classes from Your classes with "Start a class".
  2. Add your students again and print their new sign-in cards. A student cannot be moved from one class to another yet, so a student added to a new class starts afresh there, with a new card.
  3. Invite parents again. A parent's link belongs to the student's reader from last year's class, and adding the student to a new class gives them a new one.
  4. Set up again any device that was set up for one class, from the new class's Settings tab. Until you do, it shows no classes. A device set up for the whole school shows the new classes without any change.

New books arrive each month as usual, and a month's unused new books do not carry over.

Stopping altogether

If the school is not coming back, an admin can close it instead, under "Stopping altogether" on Data and privacy. Closing stops a paid plan with it, so nothing more is charged, and it stops students and teachers using the school at once and deletes the students' information 60 days later.
