A school admin can connect the school to the district's class lists, so you do not have to type them. Once connected, the lists are read every night: a student the district adds to a class is added here, and a student it takes out loses their place in that class. You connect on District class lists, which is in the school admin sidebar as "District lists".
What is kept
- For each student: a first name and the first letter of their last name, the same as a list you type. If a class already has somebody with that name and letter, the first two letters of the last name are used instead, such as "Sam Le.".
- Nothing else the district sends is stored. That includes email addresses, dates of birth, student numbers, gender, addresses and anything about support or services.
- For each teacher the district lists: their name and work address are used to find them among your school's teachers. Once a teacher is found, only their TaleTykes account is kept. A teacher who is not here yet is listed on the page so you can invite them, and their name and address are deleted when they join or when the district stops listing them.
- The district's own ids are kept only in a scrambled form that is used to recognise the same student next time.
What the district decides, and what you decide
The district decides who is in a class. Everything else stays yours:
- No class is started, renamed or archived by the district's list. You link each of the district's classes to one of yours, or start a class for it.
- A name you correct stays corrected. The next read of the list does not change it back.
- A student a teacher adds by hand stays until the teacher removes them. The district's list only ever takes out a student it put in.
- A student who is in two of the district's classes is one reader here, with one set of books, in both classes.
Connect with OneRoster
Ask the district's data team for the server address, the OneRoster version (1.1 or 1.2), your school's sourcedId, and either a client id and secret with the token address, or a token.
- Open District class lists.
- Under "Connect the district's lists", fill in the OneRoster form.
- Choose "Connect and read the lists". The server is asked for your school first, so a wrong address or key is refused before anything is saved.
Connect with ClassLink
Your district approves TaleTykes in ClassLink first. ClassLink's Roster Server then gives your school a server address, a client id and secret, and the district's ClassLink tenant id.
- Open District class lists.
- Fill in the ClassLink form, including the tenant id.
- Choose "Connect and read the lists".
Connect with Clever
Your district adds TaleTykes in its Clever dashboard first. Then:
- Open District class lists and choose "Connect with Clever".
- Sign in to Clever as a district administrator, or as your school's tech lead.
- If the district has more than one school, choose yours.
After connecting
The first read of the lists lists the district's classes and says which teachers were found. Then, for each class:
- Link it to one of your classes if the class is already on TaleTykes. The district's list fills in who else is in it.
- Start a class for it, if one of its teachers is already part of your school. That teacher leads it, and it starts on the age group its grade suggests. The teacher can change that.
Students added from the district's list get new sign-in pictures or a PIN, like any new student. Print their cards from the class's roster. See Sign-in cards and class devices.
When students leave
A student the district takes out of a class loses their place in it, the same as when a teacher removes them. A student who is in no class any more is deleted 60 days later, with their reading, books and answers, as the school agreement says. A student the district lists again within those 60 days comes back with the same reader and their books.
If one read of the lists would take out more than half of a class, and at least five students, nobody is taken out. The page says "Some students were not taken out" and asks you to check with the district first. This usually means a new term was set up early, or the district's export broke. When you are sure the list is right, choose "The district's list is right: take them out".
Signing in with the district's account
Once Clever or ClassLink is connected and the lists have been read:
- Teachers can choose "More ways to sign in" on the sign-in page, then "Continue with Clever" or "Continue with ClassLink". It works once the district's list has matched them to their account here by their work address, and their address is confirmed. It never opens a new account.
- Students on a classroom device your school set up see "Sign in with Clever" or "Sign in with ClassLink" on their class's page, as well as their name. It works only for a student the district's list put in that class, and only on that device.
Teachers whose school uses Microsoft 365 can also choose "Continue with Microsoft", with a work or school account whose address matches their account here.
Each of these works only once your school has accepted version 6 or later of the school agreement, which names these services. An admin reads and accepts it for the school once it is published. Until then, teachers sign in with their email address and password.
Disconnecting
Choose "Disconnect" and confirm. Every class and student stays as they are, and the key is deleted. Nobody is added or taken out by the district after that.
If a read of the lists fails
- "The district's server refused the key": the key has changed or been withdrawn. Disconnect and connect again with the new one.
- "The district's server did not answer": it is tried again the next night. Nothing is changed by a read that did not finish.
