Getting a copy of your data, and asking us about it

How to download everything we hold about your family, what the file contains, how to ask us to correct or delete something, and where to see what you agreed to.

You can download a copy of everything we hold about your family at any time, without asking anyone. If you would rather ask a person, or something we hold is wrong, you can send us a request from the same page, and we answer within 30 days.

Both are in Settings > Your data and agreements.

Downloading a copy

  1. Open Settings and choose "Your data and agreements".
  2. Under "A copy of everything", press "Download a copy".
  3. Your browser saves a single file, named with today's date.

The file is written to be read by a person as well as a computer. It holds:

  • your account: your name, email address, when you joined, and how and when we checked that an adult set it up
  • each notice you agreed to, with its version and the date
  • your plan and your book history
  • for each reader: their first name, age group, picture and settings; what they like; the words they have met in their books; how their reading checks and pages read aloud went, as numbers; the drawings you sent; the report card links you made; and their reader name, hearts, comments and weeks on the weekly board
  • every book, with the text of every page, where your child got to, and links to its pictures and to any recordings you made

At the top, the file explains what the reading numbers mean. It also says, in words, that no recording of your child's voice and no transcript of what they said is kept.

You can download a copy 3 times in any 24 hours. After that, you are asked to try again tomorrow.

The file covers your current readers. A reader you have removed is not in it. Two things are left out because only our staff can read them: our audit records and the record of emails we sent you. If you want those, ask us using the form below.

Asking us about your data

Under "Ask us about your data", choose what you would like:

  1. Choose an option under "What would you like?".
  2. Add anything that would help, under "Anything that would help us answer".
  3. Press "Send this to us".

We answer within 30 days, and usually within the same week. While we are working on it, the page shows your request and the date we will answer by. You can have only one open request of each kind; asking again tells you "You have already sent us that request, and we are working on it." Answered requests are listed under "What you have asked before".

When we email you a copy, the email is called "Your copy of everything is ready" and has a "Download your copy" button. That link works for a week, and after that you can ask again. The picture and recording links inside the file still stop working an hour after we make it, so if you need those, download a copy yourself as described above.

What you have agreed to

At the top of the same page, "What you have agreed to" shows whether your account has been "Checked as a grown-up", and each notice you agreed to with its version and date. Each link opens the exact version you read, not the current one. If a notice has changed since, see Updated notices.
